Assistant Manager – Venue Operation

Job Duties

  • Responsible for day-to-day venue and event related services including venue booking enquiry, venue hire packages and offers, contract management and payment follow-up, site visits, client liaison, insurance and safety arrangement etc.
  • Work closely with senior manager in formulating the operational strategies/workflow to ensure the efficiency and productivity. Assist in enhancing the service excellence including but not limited to develop a customer experience strategy, re-design the process etc.
  • Assist to manage the revenue source and proactively reach out to different organisations or parties for pursuing new opportunities and partnership with the purpose of achieving the revenue target and occupancy rate.
  • Arrange and follow-up the rental of venue equipment and furniture.
  • Participate in formulating and automate the venue operations’ processes.
  • Coordinate with technical team for pre-event meetings. Oversee the on-day event, monitor and direct in-house and/or casual labour to address ad hoc issues/complaints and escalate to senior management when and as required.
  • Conduct post-event survey and recommend improvements for strengthening the service levels.
  • Prepare operational report and management analysis report periodically.

Requirements

  • Diploma or above in hospitality management, event management, or a related field.
  • Minimum of 3 years’ relevant experience in venue hire or event management or customer services.
  • Able to work independently with excellent problem-solving skills.
  • Customer oriented and result driven. Strong communication and interpersonal skills, with the ability to build relationships with clients.
  • Good command of both written and spoken English and Chinese, including Putonghua.
  • Proficient in Microsoft Office including powerpoint.
  • Able to work flexible hours, including evenings and weekends, as required.
  • Immediate available is highly preferred.

Programme Manager

Job Duties

  • Manage and deliver the arts programmes of the Hong Kong Arts Centre. 
  • Participate and lead various arts programmes in different art forms.  
  • Undertake effective programme management, including but not limited to establish and monitor the programme budgets and schedule, production management, liaise with artists, curators, stakeholders and internal teams, plan and deliver tours or talks to support the programme, open call etc. 
  • Act as the lead to work closely with the supporting organisations and other internal and external stakeholders for qualitative planning and executions of the programme.
  • Prepare proposals to seek grants and sponsorship for major programmes and/or projects.
  • Liaise with marketing team to fulfil the strategic marketing objectives including promoting the related programmes, attracting the audience and arousing public attention.
  • Other departments for marketing and educational plans. 
  • Supervise, manage and train junior staff to implement the above tasks and foster a culture of excellence, communications and collaboration.

Requirements

  • Degree or above holder in arts management or other relevant disciplines with at least 5 years of working experience in arts-related organisations.
  • Excellent execution, organisation and problem-solving skills, and able to work independently.
  • Multi-tasking; adaptive to changes and able to work under pressure.
  • Detail-oriented and self-motivated to strive for excellence. Able to communicate at all levels.
  • Good writing and communications skills in both Chinese (Cantonese and Mandarin) and English.
  • Candidate with less experience will considered as Assistant Programme Manager.

Administrative Clerk (1-year Renewable Contract)

Job Duties

  • Participate in ad-hoc administration projects e.g. procurement activities, document management etc.
  • Support general reception duties including but not limited to attending and transferring incoming telephone calls and enquiries, greeting visitors and guests with a pleasant manner, etc.
  • Handle enquiries and requests from guests and visitors in a timely and professional manner; offer immediate assistance to them if needed.
  • Manage courier and mailing arrangements, and handle office supplies.

Requirements

  • DSE or above with at least 1 year of relevant working experience in reception or general administration, with previous work experience in an art organisation being an added advantage.

  • Excellent time management with a strong sense of responsibilities.

Part-time Board Secretary

Job Duties

  • Provide all-round secretarial and administrative supports to the Board and Committee including but not limited to organising regular Board/Committee meetings, preparing agenda, taking minutes, drafting resolutions etc. and to ensure timely follow-up actions have taken. 
  • Manage the issues of appointment and change/resignation of board members.
  • Assist in establishing communication with the Board of Directors and Committees. Act as a liaison between the Board and Committees to ensure smooth communication and information flow across the organisation.
  • Ensure full compliance with regulatory requirements and manage filings with relevant authorities.
  • Advise the Board and Senior Management on corporate governance practices and potential regulatory risks.
  • Liaise and coordinate with internal departments and external parties.

Requirements

  • A recognized degree or equivalent and solid experience in supporting Senior Executive and Board Committee.

School Facilities Assistant (Part Time)(PT-SFA (NS))

Job Duties

  • Responsible for setting up the classrooms in accordance with the teaching requirements provided by supervisor or lecturers.  
  • Support the equipment rental and classroom booking by students.
  • Assist in school operations e.g. maintain the cleanliness of the classrooms; ensure the classrooms are being locked when not in use; update and post notices/memos on student notice boards; manage printing requests from students etc. 
  • Handle tutors’ requests if needed.
  • Any ad hoc tasks/projects assigned by supervisor.

  • F.3 or above, preferably with relevant working experience

Manager, Programme Admin (Hong Kong Art School)

Job Duties

  • Report directly to Registrar, Academic.
  • To oversee academic programme administrative services, e.g. student admission, enrollment, timetabling, programme operation, exchange and scholarship logistics etc.
  • To assist in quality assurance, academic accreditation, and development/enhancement of the School’s operational policies and regulations in accordance with the requirements of the governance bodies. 
  • To conduct regular review on workflows, guidelines and procedures, and to liaise with internal and external parties, including academic collaborators, to ensure operational effectiveness.
  • To oversee the handling and the maintenance of students’ records, and to contribute and lead (if necessary) the development and implementation of systems and procedures associated with the collection and the management of student data, including but not limited to data required for collating academic transcripts and compiling annual reports of various natures.
  • To oversee the arrangements for induction/ orientation of new students.
  • To perform any ad hoc duties as assigned by supervisor.

Requirements

Lecturer / Programme Coordinator (Hong Kong Art School)

Job Duties

  • Teach and assess students at all levels and supervise their project works.
  • Act as programme coordinator in development and delivery of the high diploma programme at various levels. Support curriculum and new course development if needed. Ensure the assessments methods, learning materials and methods of delivery do meet the learning objectives.
  • Support the school and academic team to ensure the effective day-to-day operations in academic areas.
  • Participate in accreditation and quality control processes/review and liaise with accreditation bodies as necessary.
  • Supervise the duty of Teaching Assistant.
  • Work closely with programme admin team to ensure efficient and effective running of programmes and modules.
  • Participate in student recruitment and retention activities/events. Play a key role in assisting students to develop and prepare themselves as a next generation artist.

Requirements

  • A recognized master’s or doctoral degree in Fine Arts and minimum 6 years of relevant teaching experience.
  • A strong background in contemporary visual arts theory and/or inter-disciplinary practice with a focused specialisation.  
  • Professional connections with art and culture industry is definitely an advantage.
  • Strong and demonstrated record of accomplishment and experience in teaching which includes lesson plan development, assessment, and moderation.

Manager, Fundraising and Development

Job Duties

  • Work closely with Executive Director and Development Committee to develop and grow HKAC fundraising programme.
  • Lead and manage all fundraising activities, explore new income streams, and keep improving existing fundraising operations’ effectiveness.
  • Plan and execute large-scale event-based fundraising activities such as charity galas, golf event, art auctioning event etc.
  • Identify and liaise with potential corporate sponsors and partners, building and maintaining strong relationships.
  • Develop fundraising event proposals and programs, and pitch to prospective sponsors.
  • Manage fundraising event budgets to ensure sound financial performance.
  • Follow through after events with event wrap up, logistics and donor communications.
  • Collect and analyze fundraising event data, provide feedback and recommendations for improvement.
  • Assist in maintaining members’ database.
  • Not responsible for soliciting or managing individual donations.

Requirements

  • Degree in business development, marketing or related discipline.
  • Minimum 5 years of related experience, preferably with fundraising event management experience. 
  • Proven track record of developing and executing successful fundraising events and retention strategies is definitely an advantage.
  • Experience in fundraising projects is preferred.
  • Excellent organizational skills and attention to detail. 
  • Result-driven and self-motivated.
  • Proactive and a good team player. Strong interpersonal and communication skills.

Job Duties

  • Provide ushering and front of house service in theatres, assist in house rules and regulations enforcement
  • Perform effective communication with patrons, guests and venue hirers
  • Assist in crowd control to ensure smooth running of events and activities

  • Assist in facilities management for maintaining a clean, safe and comfortable environment for all venue users

Chief Theatre Technician

Job Duties

  • Perform all aspects of stage and event operations in stage and multi-purpose areas with a view of ensuring the set-up, rigging, rehearsal, performance and strike-out are carried out smoothly and safely.
  • Provide the technical and operational support to stage and theatre performance to be held at HKAC and ensure all technical requirements are fulfilled in a safe and professional manner.
  • Participate in supervising the teams and delivering staff training to ensure the up-to-date theatre technology and industry best practice is being enforced. 
  • Assist in monitoring freelancer and supervise the progress of setup and dismantling of the events if needed.
  • Contribute in the maintenance plan including but not limited to review the life cycle and infrastructure of the technical equipment regularly, scheduling the preventive maintenance etc. 
  • Required to work on rostering and shift duty.

Requirements

  • Minimum 5 years or above relevant experience in technical and productions support for theatre, cinema operations and stage operations.
  • Experience in sizable performing arts venues or companies at supervisory level will be an added advantage. 
  • Independent and highly-organized.  
  • Able to guide and lead the technicians and freelancer.
  • Strong interpersonal and customer service skills.
  • Experience in AutoCAD drawing is preferred.
  • Good English and Cantonese. 
  • Candidate with less experience will be considered as Senior Technician.

Internship Programme

Are you interested in gaining experience in the arts and creative industry? Over the years, Hong Kong Arts Centre has offered opportunities to local and overseas university students to gain an exciting and fulfilling experience through our internship and volunteer schemes. Our internship programme provides an excellent opportunity for their students to explore their potential through hands-on work experience, gaining exposure to the different aspects in the operation of the Hong Kong Arts Centre. The learning experience is a stepping stone to a promising future in arts administration and arts education.

 

Internship opportunities are available for the following categories

Volunteer

Are you art lovers? Do you have time to spare? Join the Hong Kong Arts Centre as a volunteer! Our volunteers come from a variety backgrounds, helping with events and programmes and providing administrative support to the Hong Kong Arts Centre. They are also trained to give docent tours. Volunteers can participate in various types of service, depending on their knowledge, interest and availability. No previous experience is required. Let us know your availability. 

 

Requirements

  • Aged 18 or above;
  • Holder of the Hong Kong Permanent Identity Card;
  • Fluent in at least one of the following languages: Cantonese, Mandarin, English; and
  • Be enthusiastic and enthusiastic about our vision and mission.
